DialedWeb, a growing web design and development agency, was managing projects manually—leading to miscommunication, delayed tasks, and operational drag. Team members had no streamlined way to assign tasks, follow up on deliverables, or track payments.
Task creation was inconsistent, project updates were buried in Slack or forgotten, and the agency had no clear system for syncing AI support tools with human teams. As new projects ramped up, the lack of operational clarity became an everyday bottleneck.
In our discovery, we found that managers spent hours each week coordinating tasks manually—something that could be easily automated.

We designed and implemented a fully customized Notion-based project management system connected to Make.com, Telegram, and n8n—giving DialedWeb a powerful backend for human + AI collaboration.
Task Automation via Telegram:
We built a Telegram bot that allowed team members and managers to send voice or text messages to assign tasks. Each message was parsed and turned into a structured task in the Notion database.
This eliminated manual task input and saved managers 5–7 hours/week.
AI Agent Integration with n8n:
We connected n8n workflows with their AI agents to trigger updates, status changes, and even automatic suggestions for next steps based on task history.
This kept operations flowing without the need for constant supervision.
Payment & Payout Automation:
We implemented a Notion-to-Make system that tracked each team member’s project contributions and automatically triggered payout reminders at the end of each month.
This improved transparency and reduced payroll-related admin time.
Client Portals:
Each client was given a tailored portal with deliverables, feedback history, and project timelines—all linked directly into the core system.
This elevated client experience and reduced back-and-forth communication.
